Exhibitor Services Manual

Welcome

Freeman OnlineOTC’s Exhibitor Services Manual is now available through Freeman Online. We recently teamed up with Freeman to establish a more streamlined, user-friendly ESM.

All of the forms, information and resources you need are available in one location.

 

New for 2016

  • Exhibitor Registration: Each individual exhibitor will receive an email confirmation when they are registered. The confirmation email will provide a link to purchase tickets for events not included with the Exhibitor Registration.   The primary contact will no longer be required to make the additional purchases of ticketed items for their registrants.
  • NRG Park does not permit the use of drones, indoors or outdoors.
  • All tents with A/C need to have their condensate hoses either run to drains or in barrels to be monitored to insure they do not spill into the parkway

Reminders

  • Exhibitors may purchase a limited number of Parking Permits for use during show days through NRG Park Exhibitor Services. Permits will go on sale on 18 January.

  • There will be NO installation permitted on Sunday,1 May.Installation of exhibits must be complete by 1700 hours on Saturday, 30 April. No exceptions

  • No open-toe shoes are permitted on the exhibit floor during move-in and move-out.

  • Exhibitors and their appointed contractors are responsible for the removal of Visqueen covering by the end of move in on Saturday. If an exhibitor’s booth remains covered or cordoned off on Sunday morning, any vacuuming necessary on Monday morning will be at the expense of the exhibitor. Additionally exhibitor will be responsible for the disposal of the Visqueen and for vacuuming all aisles around their booth. Failure to comply will result in a loss of 5 priority points.

  • Exhibitors (or their EAC) who ignore repeated verbal/written warning by OTC Show Management of a violation(s) of the Rules and Regulations, will lose 5 priority points. If an exhibitor is cited for more than 2 offenses, the exhibitor will forfeit 30 priority points. (See Photography Policy for applicable point forfeiture.) Contracted Exhibitors are responsible for the actions of their co-exhibitors and their EACs.

  • If your multi-level booth uses the exact same design as in 2015, the Fire Marshall will accept a notarized letter on company letterhead to that affect in lieu of re-submitting the design specs.

  • Exhibitor or its EAC is encouraged to remain with their freight during move-out until it is picked up from the exhibit hall by the Official Freight Contractor. Show Management is not responsible for loss of unattended freight. Additional security may be hired at Exhibitor’s expense.

The U.S. Department of Commerce is currently recruiting delegations from over 30 countries and will organize various programs FREE OF CHARGE at OTC16 to assist U.S. exhibitors export their products and services to these markets. Countries currently recruiting delegations include: Algeria, Argentina, Angola, Azerbaijan, Brazil, Canada, Cyprus, Egypt, Ghana, Iceland, India, Iraq, Kazakhstan, Kuwait, Libya, *Malaysia, Mexico, Morocco, Mozambique, Myanmar, Nigeria, *Peru, Qatar, *Russia, Saudi Arabia, Singapore, *South Africa, Tanzania, *Ukraine, United Arab Emirates, United Kingdom. *denotes unescorted delegation

  • RECEIVE MARKET INSIGHT FROM O&G SPECIALISTS from U.S. Embassies and Consulates from markets listed above to discuss trends and opportunities for your business in their markets. Additionally, representatives from the United States Small Business Administration and the Export-Import Bank of the United States will be available for meetings.
  • MEET WITH INTERNATIONAL BUYERS from U.S. Embassy and Consulate-led international buying delegations from these overseas markets.

Exhibitor Roundtable Video

The OTC Exhibitor Roundtable was held on 27 January in Houston to offer exhibitors a chance to meet fellow exhibitors and discover best practices to enhance their OTC experience. The day featured a panel discussion, education workshop, contractor presentations, and staff presentations on "what's new" at OTC.
